Q: Why do I see a message saying admin approval is needed when I sign in with Microsoft?

Some organisations don’t allow staff to approve third party apps themselves. Your Microsoft 365 IT admin needs to approve the app once for the whole organisation: Sign in to the Microsoft Entra admin center as a Global Administrator, Cloud Application Administrator or Application Administrator. Go to Enterprise applications > Admin consent requests and approve the request for the Meeting Rooms app. If there’s no pending request, sign in once on the booking page or in the Meeting Room app settings, and tick Consent on behalf of your organization on the Microsoft prompt. The app appears on the Microsoft prompt as Meeting Rooms app, published by ScreenCloud. Until it’s approved, you can book by typing your email address into the email field on the booking page.

Q: My saved booking page or QR code photo has stopped working. What should I do?

The booking page has moved to meeting-room.apps.screencloud.com. Scan the QR code on the room screen again, then bookmark the new page or take a new photo. The QR code on each screen updates automatically.

Q: Why does Google ask for permission every time I connect a calendar?

This is expected. Select Allow to continue.

Q: Can I display recurring events or meetings?

Yes. The app shows recurring events on the day they’re scheduled, alongside the current meeting and any upcoming bookings for that day. It doesn’t show future occurrences on other days.

Q: Can I display all day events?

The app doesn’t support events marked as “all day” in your calendar. Instead, create the event with a set start and end time, for example 7:00am to 8:00pm, and it will display on the app.

Q: Why can’t I use my personal Gmail account to create a meeting room calendar?

You can set up the app with a personal Gmail account, but it’s more limited and doesn’t add the room to your calendar’s Rooms list. We recommend using a Google Workspace account with Super Admin permissions. If you don’t have those permissions, ask the person who does to add the room to ScreenCloud. Once the room is added, anyone in your Google Workspace organisation can book or edit it without admin permissions.

Q: Why can’t my team members book meetings?

Make sure the room was set up by a Google Workspace Super Admin or an Editor of the Outlook calendar for your organisation. Once it’s set up correctly, anyone in that Google Workspace organisation, or any Editor of the Outlook calendar, can add and edit bookings. Anyone can also book using the QR code or short link.

Q: Why didn’t I receive an email confirmation after booking a room?

You’ll receive an email confirmation when you book or edit a booking using the QR code or short link. You won’t receive an extra email when you book through Google Calendar. If you’re expecting an email and it hasn’t arrived, check your spam folder.

Q: Why isn’t my booking appearing on the screen?

This can happen if: - The booking isn’t for today. The app only shows today’s bookings. - There isn’t enough space on the screen to show a booking later in the day. - The booking hasn’t been saved yet. - The screen isn’t connected to the internet. - It’s a future occurrence of a recurring event. These only show on the day they’re scheduled. To show your full calendar, use ScreenCloud’s Google Calendar or Outlook apps instead.

Q: Why doesn’t the room name show in Google Calendar, even though my account is in the Google Workspace that created the room?

This usually means the room is already booked at that time. Choose a different date, time or room.
